A letter to your pastor from the church media volunteer, with a meeting agenda and weekly handoff note
A free printable kit for a church media volunteer: a one-page letter to hand your pastor that asks for four specific things (the sermon title and passage by an agreed day, announcements in one place with a heads-up on changes, one person who approves, and a Sunday off in the rotation), a 30-minute team meeting agenda and a weekly pastor-to-volunteer handoff note.

Here’s what’s inside
- A one-page letter in the volunteer's voice with one real example, four specific requests and what you offer in return
- A 30-minute media team meeting agenda, with ten minutes for the pastor once a month
- A weekly handoff note the pastor fills in: title, passage, announcements, changes, who approves
- A short list of how and when to give the letter, and your gaps from three questions
What the checklist covers
Make four specific requests
- The sermon title and main passage by a day you agree together. No standard exists for how far ahead a pastor should give them, so agree a day and write it down. Our suggestion is Wednesday.
- Announcements in one place with a heads-up on changes, one named person who approves what goes out, and notice for new requests.
- Rest: a Sunday off in the rotation, when it suits the team. ChurchLeaders advises planning for restoration if you expect excellence (see Sources).
Offer something back
- Say what you will do each week: confirm you have what you need, say early if something will not be ready, and ask before you change how Sunday looks.
- Name one real example kindly, and ask for 15 minutes to talk it through. The agenda then gives the pastor the first ten minutes once a month.
- Hand it over at a calm time, on paper, and offer to talk it through.
Write it down weekly
- The handoff note is one page the pastor fills in once a week. It replaces a text message sent late on Saturday.
- A verbal heads-up gets forgotten, so write changes on the note (Rundown Studio; see Sources).
- Post approval has its own record; this kit covers the weekly input.

Frequently asked questions
Ask for a calm time that is not Sunday morning, hand over a short letter and offer to talk it through. Open with thanks, ask for a few specific things and say what you will do in return. The free letter is one page and is written in the volunteer's voice, with blanks for names and the days you agree.
Last Sunday's wins and fixes, the next four Sundays and who is on, training and gear, and one thank you. Once a month give the pastor the first ten minutes for the series, the dates and the asks. The free agenda fits on one page and takes about 30 minutes.
There is no published standard; churches set their own deadline. Agree a day with your pastor and write it on the handoff note. Our suggestion is Wednesday, which leaves time to build slides and graphics before the weekend. Church Visuals advises getting information to the tech team as early as possible.
Four things: the sermon title and passage by an agreed day, announcements in one place with a heads-up on changes, one person who approves what is posted, and a Sunday off in the rotation. The letter lists each one with a blank for the day or the name and starts with one real example, so it is specific and short.
Start with what you enjoy about serving, then name the one thing that would help most, such as a firm Wednesday deadline, and offer to try it for a month. Ask for a Sunday off in the rotation as a normal rhythm. ChurchLeaders advises that a team that is expected to be excellent also needs planned rest.
One named person, so the volunteer never has to guess. Often that is the pastor or a communications lead. Write the name on the letter and on the handoff note. For a full post-by-post record, see our simple content handoff guide.
